1. About this policy
This first-draft policy explains how AuScholar may collect, use, disclose and protect personal information. It is framed with Australian privacy expectations, including the Australian Privacy Act where applicable, but is not a claim of formal legal certification.
2. Information you provide
Depending on the features you use, AuScholar may process:
- account information, including email address and authentication identifiers;
- student type, citizenship or residency information, state and postcode;
- study level, field of study, intended course and institution preference;
- academic information such as broad ATAR, GPA, merit or experience answers;
- financial-hardship and regional or rural information;
- optional demographic or personal-circumstance information, which may include Indigenous status, disability, veteran status, humanitarian background or gender;
- saved opportunities, draft inputs, support communications and other content you choose to provide.
3. Search, matching and technical information
AuScholar may process matching and search activity, selected filters, saved records, feature usage, device and browser information, IP-derived technical information, error logs and security events. Questionnaire answers may be carried in search parameters where the current search flow requires them.
4. How information is used
Information may be used to authenticate users, compare profiles with scholarship criteria, rank and explain results, save selected opportunities, provide requested draft help, secure and troubleshoot the service, respond to support requests and improve coverage and usability.
5. Authentication, cookies and analytics
Supabase supports authentication and may use cookies or similar storage to maintain sessions. AuScholar and its service providers may use necessary cookies. Analytics may be used where enabled; the exact tools and settings should be reviewed before launch rather than assuming no analytics are present.
6. AI processing
AI services may assist with catalogue verification, scholarship explanations and user-requested drafting features. Relevant source text, structured scholarship information or user-provided draft content may be sent to an AI service provider for those purposes. AI output is checked or constrained where practical, but users should review it carefully.
7. Service providers and overseas processing
AuScholar may use service providers for hosting, authentication, databases, security, communications and AI processing. Some providers may process or store information outside Australia. Their locations and contractual safeguards should be reviewed as service configuration develops.
When paid subscriptions are enabled, payment processing may be handled by Stripe. AuScholar will not store complete payment-card details.
8. Data security and retention
AuScholar uses reasonable technical and organisational safeguards, but no online service can promise complete security. Information may be retained while an account is active, while needed to provide or secure the service, and as required for legitimate operational or legal purposes. Retention periods should be refined as the service moves toward launch.
9. Access, correction and deletion
Users may request access to, correction of or deletion of personal information, subject to identity verification and any lawful retention requirements. A public request channel must be configured before launch.
10. Children and younger users
Scholarship users may include younger students. Younger users should involve a parent, guardian or trusted adult when deciding what personal or sensitive information to provide and when applying through external provider websites.
11. Changes to this policy
This policy may change as AuScholar features and service providers evolve. Material updates will be reflected on this page with an updated date.
